LICIEL Diagnostics File Management - Home Screen

 

I.    Introduction

The File Management window is the Home screen of your LICIEL Diagnostics software.  This WikiLICIEL article describes the functions accessible using from the Menu and Button bars. The more complex functions are fully documented in other WikiLICIEL articles referenced in their description.  You can customize many areas of this display to suit your business needs and priorities.  See the instructions in the "Display/Hide Columns" section for more information.  

 

      I.A    Local Enviroment/Online File-Sharing Areas

The Home screen contains two grids that represent your inspection files:

  • The upper grid represents the Local Environment (everything saved on your computer) 
  • The lower grid represents the Online File-Sharing Area   

On the Home screen's Menu bar, click on File> Online File-Sharing Area to toggle on and off the display of the Online File-Sharing Area (lower grid).

   I.B    Button Bar

The buttons below the Menu bar are shortcuts to the most frequently used menus and submenus. 

   

refreshes the information on your Home screen.

displays the Job Order window to begin the creation of a new Job OrderSee the "III.A  Creating a New Job Order" section.

 

displays the Job Order window to allow you to edit an existing Job OrderSee the "III.B  Editing an Existing Job Order" section. 

displays the Field Record window to allow you to manage an existing Job Order. 

launches the Printing tool to generate your reports in Word, Open Office or PDF. 

opens the selected Job Order's folder in Windows to allow you to access all the job's related files. 



displays details of the selected Job Order in a pane on the right of the Home screen.  See the "Quick View Pane" section below.


opens your LICIEL Contact Book. 

   I.C    Quick View Pane

The Quick View pane displays on the right side of your Home screen when you click on  It contains summary information on the selected Job Order, and allows you to directly modify selected fields on the Job Order, as shown below:

File Number - allows you to indicate the identifier of the selected folder. 

File Status - allows you to set the state of the selected folder.  By default, the File Status is displayed in the left column on your Home screen, beside each record. See section "I.D  Status Icons", below. 

Closed File - allows you to close the selected file. The  button allows you to save changes made to the File Status.

Property Owner, Client, and Property - show these data about the selected folder.  

Recipients - shows the recipients associated with the selected file.

Billing Address and Billing E-mail - allow you to enter information regarding the billing process.  

The Preview Image  tab displays an image associated with the property. 

The Jobs tab displays information about the assignment, and allows you to enter additional narrative.  

Date/Duration - displays the date and the time at which the assignment is planned.  

Attended by - displays information about the person who will be present with you at the inspection of the property. 

Access/Keys - shows you information regarding the property's access procedures and key obtainment. 

Details - allows you to enter information about the upcoming inspection. 

Notes - allows you to enter notes relating to the assignment. 

 - saves changes made on the Jobs tab.

 

 

    I.D    Status Icon

By default, these icons display in the left column on your Home screen, however, you can customize the columns as you see fit. 

They indicate the status of each Job Order:

Estimate was Submitted

Report Printed

Order

Invoicing in Progress

Appointment Set

Awaiting Payment

Inspection in Progress

Report Sent

Inspection on Hold

File Closed (the report has been prepared, submitted, and paid for in full.)

Inspection Needs Rescheduling

Job Order Canceled

Awaiting Report

Inspection Canceled

These menus are available along the top Menu bar: 

    


II.    File Menu

The File menu consists of the following options: 

  • Online File-Sharing Area - toggles on and off the display of the lower, Online File-Sharing Area grid.
  • Import Software Settings - allows you to import a Settings/Configuration file and apply an already defined group of settings instead of manually entering them. This saves time and can be used to assure all users in your company are viewing the same information.
  • Quit - allows you to close the software.

      II.A    Online File-Sharing Area

The Online File-Sharing Area option allows to exchange files between computers in your company using the LICIEL Diagnostics Software. 

Note: LICIEL will continuously synch files in your Local Environment and Online File-Sharing Areas throughout all your LICIEL equipped computers and tablets if you have subscribed to the LICIEL Cloud option. 

Use the Online File-Sharing buttons to manage your shared file area(s): 

allows you to transfer a file from the Online File-Sharing Area to the Local Environment Area.

refreshes the display.

displays the Modify File-Sharing Area window.  

removes a file from the Online File-Sharing Area. 

allows you to transfer a file from the Local Environment Area to the Online File-Sharing Area. The complimentary Online File-Sharing Area is limited to 20 files, for up to five days; however, you can purchase additional storage capacity. 

displays the number of files in the Online File-Sharing Area. 

 

Note: Before transfering a file, if you want other people view the Job Order's Estimates/Invoices data, you have to first indicate it via Tools> Software Settings > Document Management/Data Exchange> Network> Transfer Settings > Transfer associated invoices when transferring files (Server/Local).          

    II.A.1   Modifying the Online File-Sharing Area 

The Modify File-Sharing Area window allows you to define and select custom File-Sharing Areas. This feature is helpful when you want to share a group of files with other companies who use LICIEL. 

    1.  On the Home screen's Menu bar, click on File> Online File-Sharing Area to display the Online File-Sharing Area if it is not already visible.

    2.  Click on  to display the Modify File-Sharing Area window

By default, the complimentary LICIEL File-Sharing Area is named My Company. If it is included in your LICIEL Agreement, you can configure a new File-Sharing Area in Tools> Software Settings> Document Management/Data Exchange> Online Services.

Note: The creation of a new File-Sharing Area is subject to your LICIEL Agreement.

    3.  Select the name of the File-Sharing Area.

    4.  When you are finished making changes, click on Save list of Data Transfer Areas 

      II.B   Import Software Settings

Use this option to replace your reports templates, databases (Directory, Calendar, Drop-down menus and Service Rates) with another configuration which previously been exported to the web. 


III.    Admin Section Menu

The Admin Section menu allows you to manage Job Orders and their related documents. It consists of the following options:

  • Create Job Order - allows you to create a new Job Order.

  • Edit Job Oder - allows you to edit an existing Job Order. 

  • Duplicate Job Order - allows you to duplicats the selected Job Order in the Administrative Section. This option duplicates the Job Order only, without its associated files.

  • Delete Job Order - allows you to delete the selected Job Order and totally deletes the assignment from the computer. 

  • Export File in Zip Format - allows you to save the selected Job Order in LDossier format to a location that you specify without use of a network, server, or Internet connection. 

  • Import File in Zip Format - allows you to import a Job Order in LDossier format from a location you specify without use of a network, server, or Internet connection.

  • Special Import/Export - allows you to import a Job Order from several formats, such as LICIWEB. You can import and export in XML and Excel format using these options:  

    • Import LiciWeb

    • Import (XML Format)

    • Export (XML Format)

    • Import (Excel Format)

    III.A    Creating a New Job Order

    1.  On the Home screen, click on  to display the Job Order window  

Or, on the Menu bar, click on Admin Section> Create Job Order.    

         

    2.  Complete all the applicable fields for each tab as necessary.

    3.  Click on .

    III.B    Editing an Existing Job Order

    1.  On the Home screen, select the Job Order that you want to edit from the Local Environment (upper grid). 

    2.  Click on  to display the Job Order window (see above).   

Or, on the Menu bar, click on Admin Section> Edit Job Order.    

Or, on the Home screen, double-click on the Job Order that you want to edit.     

     3.  Complete all the applicable fields for each tab as necessary.

    4.  Click on .

    III.C    Duplicating a Job Order

    1.  On the Home screen, select the Job Order that you want to duplicate from the Local Environment (upper grid).

    2.  On the Menu bar, click on Admin Section> Duplicate Job Order to display the Job Order window (see above).    

     3.  Complete all the applicable fields for each tab as necessary.

    4.  Click on .

    III.D    Deleting a Job Order

    1.  On the Home screen, select the Job Order that you want to delete from the Local Environment (upper grid).

    2.  On the Menu bar, click on Admin Section> Delete. 

LICIEL displays a confirmation/countdown pop-up window. The number on the No button counts down the number of seconds until the deletion will occur, even if you do not click on the button. 

    3.  If you are certain that you want to delete the selected file, click on Yes.  

Note: You must click on the No button to cancel the deletion before the countdown elapses or the deletion will occur. 

    III.E    Exporting a File in Zip Format 

    1.  On the Home screen, select the Job Order that you want to export from the Local Environment (upper grid).

    2.  On the Menu bar, click on Admin Section> Export File in Zip Format.

    3.  Save the file on your computer.

    III.F    Importing a File in Zip Format

    1.  On the Menu bar, click on Admin Section> Import File in Zip Format.

    2.  Select the file from your computer; then, import it. 

    III.G    Importing a LiciWeb File

     1.  On the Menu bar, click on Admin Section> Special Import/Export> Import LiciWeb.

    2.  Select the file from your computer; then, import it.

    III.H    Importing a File in XML Format

     1.  On the Menu bar, click on Admin Section> Special Import/Export> Import XML Format.

     2.  Select the file from your computer; then, import it.

    III.I    Exporting a File in XML Format

    1.  On the Home screen, select the Job Order that you want to export from the Local Environment (upper grid).

    2.  On the Menu bar, click on Admin Section> Special Import/Export> Export XML Format.

    3.  Save the file on your computer. 


IV.    Field Section Menu

The Field Section menu allows you to access to the Field Section window (shown below) and manage Job Orders and the inspection data that has been accomplished in the field during the assignment.

          

The Field Section menu consists of the following options:

  • Launch/Open Field Record - allows you to edit an existing Job Order in the Field Section to work with assignment data and reports. 

On the Home screen, click to select the Job Order that you want to modify; then, on the Menu bar, click on Field Section> Launch/Open Field Record.

  • File Action  
    • Close (Status) - allows you to change the selected Job Order's status to Closed 
    • Relocate (Move to Another Subdirectory) - allows you to move the selected Job Order along with its entire folder structure to a different location in your file system.
  • Duplicate Field Record - allows you to duplicate the selected Job Order in the Field Section along with its associated files and folder structure.
  • Complete Closure - allows you to refresh a closed folder in a new one.  
  • Create Sub-Folder - allows you to create a folder within an existing folder.  

This is useful when you are working with a multi-unit building. In that way, you can create the folder for the building, then a sub-folder for each unit within the building. 

  • Delete Field Record - allows you to remove the entire Job Order, including all data and folder structures.
  • Reset (Clear Record) - allows you to remove all data without removing the folder structure. 

This is useful when you want to restart the Job Order without creating a new folder. 

  • Change File Number - allows you to change the number of the Job Order folder. 
  • Export in Zip Format - allows you to save the selected Job Order in LDossier format to a location you specify, without a network, server, or Internet connection.
  • Import in Zip Format - allows you to import a Job Order in LDossier format to a location that you specify, without a network, server, or Internet connection.  
  • Special Import Cases - allows you to import items only in the software field other than LICIEL:
  • Import LICIEL Files
  • Import LICIEL Files Changing File Numbers

V.    Display Menu

The Display menu allows you to customize the appearance of your Home screen

The appearance of your Home screen is determined by your configuration file, stored locally on each computer. 

The options on the Display menu modify the configuration file for your own computer only.

To save and share your settings with another user, or to apply their settings for your computer, use the File> Import Software Settings option. 

The Display menu consists of the following options:

  • File Details (Quick View Pane) - toggles on and off the display of the Quick View pane.    

          

  • Search - toggles on and off the display of the Search bar (below the Button bar).

            

Use the text boxes and drop-downs filters to refine your search using meaningful search terms, such as the client name, or the dates on which the job was performed. 

After completing the Search fields, click on  or press the Enter key in your keyboard to display your search results. 

After you are finished searching, uncheck  on the left, then click on  to refresh your display.

  • Update - allows you to refresh the display on your Home screen.
  • Display All - redisplays all files on your Home screen, regardless of any searches, file status, or exclusions you may have selected below.
  • File Display Limit - allows you to specify the number of files that you want to display. 

This option may affect the starting speed of LICIEL, depending on the number of files you choose to display.

  • Do Not Color Lines - toggles on and off the display colors on your upper and lower grids.

Some people find the colors make it easier to read the grids.

  • Display/Hide Columns - allows you to select and sort which columns appear on your Home screen

The left (All Columns) pane lists all available columns, with the currently displayed columns highlighted in green. The right (Displayed Columns) pane lists only the currently displayed columns, in order of their display, left to right on your Home screen. You can add or remove columns from the display, and change the order and width of displayed columns (see below). These options do not affect data, only display, so you can remove and replace columns on the display at any time.    

         

    V.A    Adding a Column to your Display

    1.  In the left (All Columns) pane, select the column that you want to add to your display.

    2.  Drag and drop the column to the right pane. 

By default, the new column will be located at the end of the list, corresponding to the right-most column of the grid.

    3.  Modify the placement and width of the column to suit your needs.

    4. When you have completed your changes, click on .

You can change the display order of the columns using the Up and Down arrow buttons. 

    1.  In the right (Displayed Columns) pane, locate and select the column that you want to move on the display. 

The Up arrow moves the column to the left; the Down arrow moves it to the right.

    2.  You can specify the displayed width of the columns using the Size field to the right of the column's title. 

The default width is 100 pixels, but you can adjust it as you wish.

    3. When you have completed your changes, click on .

    V.C    Removing a Column from your Display

    1.  In the right (Displayed Columns) pane, locate and select the column that you want to remove from the display. 

    2.  Click on  to remove the column from your Home screen grid

The column then is listed only on the left (All Columns) pane.

  • Include/Exclude

Check or uncheck each of the last six options on the Display menu to specify file groups that you want to be included or excluded in the display.

         


VI.    Job Aids Menu

The Job Aids menu consists of the following options:

  • Contact Book - allows you to add contacts and manage them. The shown contacts are not automatically synchronized with the directory of your colleagues.

  • Accounting Statistics/Taxes - allows you to manage your company's financial activities.

  • Sales Management - allows you to manage your billing and your records. Have to master data to ensure the continuity of your company.

  • Past Due Reminders - allows you to manage unpaid bills. This tool will allow you to automatically restart the unpaid invoices reminder.

VII.    Tools Menu

The Tools menu consists of the following options:

  • Update via Internet - forces a software update. 

These updates are done automatically when you start LICIEL, but this menu can be used if you restart it only very rarely.

  • Download Associated Files - allows you to check all the components of your software and update them when necessary.

Note: Anti-virus software programs, such as Avast or Kaspersky, sometimes pose a problem at the time of download. In the event that you receive a connection error message, disable the anti-virus at the time of the update.

  • Launch Online File Transfer Tool - sends selected files to the web as LICIELWEB tools or Data Exchange area. 

This is a rescue tool to be used if, for example, your computer turns off during a Job Order Transfer to your File-Sharing Area. When you turn it on again, you can use this tool to complete the transfer without having to start all over again.

  • Display Mail Merge Fields - displays the software's list of dynamic fields. These fields are used in all models of LICIEL reports.

If you want to customize your report templates, you can consult this list of database fields to add within your report templates.  

To copy a Merge Field, select it to automatically copy it to your clipboard. You can then paste it where you want in your Report Templates.

         

  • Software Settings - allows you to fully configure your software.

VIII.    Help menu

The Help menu consists of the following options:

  • Remote Technical Assistance - starts a Secure Assistance Hand Tool of a technician on your computer. 

The operation of this tool requires an Internet connection.

  • Request Software Modification - opens a window for you to explain and submit your suggestion for a change in the software. 

    VIII.A    Requesting a Software Modification

The Narrative pane (upper section) allows you to explain your request. 

The Drawing pane (lower section) allows you to add a drawing to your request using the tools provided.

         

    1.  Type a description of the software modification you are requesting.

   2.  Use these tools to create your drawing: 

to send your change request to the LICIEL developers.

to take a screenshot of the selected tab to copy it to the Drawing pane.

You will be able then to draw attention to sections of the screen in question.

          VIII.A.1   Taking a Screenshot

    1.  Click to start the capture tool  

    2.  Navigate to the screen or window that you want to capture. 

    3.  Click on the tool img. 

The capture tool copies the screen, and automatically pastes the image into the Drawing pane.


          VIII.A.2   Drawing on the Captured Image

    1.  Click on the color button img to display the color selector.

    2.  Click on the color that you want to use.

    3.  Select Line, or Text, or both of them, depending on your needs.

    4.  Use your mouse to draw as needed, or the Edition window that will display to enter the desired text.

to delete your drawing or text. You must first check the Line radio button.

Click to switch to eraser mode.

Drag the mouse over areas that you want to erase. 

  • Tech Support allows Technical Assistance when using LICIEL. These tools are for use by LICIEL Support Technicians only. The menu is composed of:    
    • Repair Main Database
    • Upload Selected File to Tech Support
    • Repair Selected File
    • Extract Conclusions from Main DB
    • Show Actions in Database
    • Open the Liciel Program Folder
    • License Verification
    • Complementary Licenses Management
    • Change License Number
    • Change Interface Language
  • Available Updates - displays the Record of Software Updates window.
  • Request Website Access Codes - allows you to make an automatic application of your access codes to your account.
  • Online Training - automatically directs you to all training videos (Internet connection required).  
  • Wiki - displays the WikiLICIEL articles, where you will find all the notices and regulations of your job (Internet connection required). 
  • About - displays basic information, such as the PC ID, Serial Number, etc., regarding your LICIEL license and the machine where you have installed it.
